Step 1: Open Sent
Choose Sent in the sidebar. The Signature requests page lists every request; filter by All, Waiting, Completed, Drafts, Declined, Canceled or Expired.
Step 2: Open a request
Select it to see its recipients, each with a status, when they were emailed and when they opened it, plus the expiry date and reminder schedule.
Step 3: Nudge someone
Choose Remind on the request, or the bell next to one recipient (Send a reminder). You can remind the same person once an hour; automatic reminders follow the schedule you set when sending.
Step 4: Fix a wrong address
Choose the new-link button next to the recipient (New link / fix email), correct the Email if needed and select Send new link. Their previous link stops working.
Step 5: Cancel if needed
Choose Cancel request, add an optional Note to recipients, and confirm. Links stop working right away, and anyone already emailed is told they don't need to sign.
Statuses
| Request status | Meaning |
|---|---|
| Draft | Saved with Save and close, not sent. Send now or Delete draft. |
| Waiting for others | Sent; at least one person still has to act. |
| Completed | Everyone finished. The signed PDF and certificate are ready. |
| Declined | A recipient declined or asked for paper; the request is closed. |
| Canceled | You canceled it. |
| Expired | It reached its expiry date before everyone finished. |
Recipient statuses are Not sent yet (waiting for their turn), Emailed, Opened, Signed, Approved and Declined. Activity shows every event in order, such as the invitation emailed, the document opened, consent given and the signature with the device key.
Email notifications
- Each time someone signs, you get an email saying how many people still need to finish.
- When everyone has signed, you get Completed with the signed PDF and the Certificate of Completion.
- If someone declines, asks for paper, or the request expires, you get an email saying so, with their reason if they gave one.
A recipient says the email never arrived.
Check the address on the request, ask them to search spam for your name, then send a reminder. If the address was wrong, use New link / fix email. More checks: Signing and notification emails aren't arriving.
Can I edit a request after sending?
Not the document or the fields: the sent version is locked. Cancel the request and send a new one. Wrong email addresses can be fixed with a new link.
Where are documents other people sent me?
In Received, next to Sent in the sidebar.

- The signed PDF, Certificate of Completion and audit trailWhen everyone finishes, each person gets the signed PDF and a Certificate of Completion. Both are digitally sealed and, when the time-stamping service is reachable, independently time-stamped. The signed PDF carries the signing evidence inside it, so changing one byte makes PDF readers flag the file.
